Wedding Timeline for a 4pm Ceremony (Plus 3pm and 5pm)
A 4pm ceremony is one of the most popular start times: there's time to get ready without rushing, the light is usually kind for photos, and the evening flows naturally into dinner and dancing. Below is a sample timeline you can copy, followed by quick adjustments for 3pm and 5pm ceremonies.
Every wedding is different โ a long religious ceremony, a big wedding party or travel between venues will shift things. Use this as a starting point, not a rulebook.
Sample timeline: 4pm ceremony
Morning
- 9:00 โ Hair and makeup begins (allow 45โ60 minutes per person in the wedding party)
- 12:00 โ Photographer arrives for detail shots: dress, rings, invitations, shoes
- 12:30 โ Light lunch for everyone getting ready (don't skip this)
Early afternoon
- 13:30 โ Final touches; partner getting dressed
- 14:00 โ Getting-dressed photos
- 14:30 โ First look and couple portraits (optional, but frees up time later)
- 15:00 โ Wedding party photos
- 15:30 โ Couple tucked away; guests begin arriving
Ceremony
- 16:00 โ Ceremony begins (20โ45 minutes for most civil or short ceremonies; longer for religious ones)
- 16:45 โ Recessional, congratulations, confetti
Cocktail hour
- 17:00 โ Cocktail hour for guests
- 17:00 โ Family photos (have a list ready and someone who knows the family to call names)
- 17:30 โ Short couple session during golden hour, if the light is good
Reception
- 18:00 โ Guests take their seats; grand entrance
- 18:15 โ Welcome speech and first course
- 19:00 โ Speeches between courses
- 19:45 โ First dance
- 20:00 โ Dance floor opens
- 21:30 โ Cake cutting
- 22:00 โ Bouquet toss, games or a late-night snack
- 23:30 โ 01:00 โ Last dance and send-off
Where timelines usually slip
- Hair and makeup almost always runs late. Add 30 minutes of buffer.
- Family photos take longer than anyone expects. A written list of groups helps enormously.
- Travel between the ceremony and the venue โ check the real driving time at that hour, on that day of the week.
- Speeches grow on the day. Ask speakers for three to five minutes each.
Our longer guide to building a wedding day timeline covers buffers and the moments couples underestimate.
If your ceremony is at 3pm
Move everything one hour earlier. You'll start hair and makeup around 8:00, and the reception usually begins around 17:00. A 3pm ceremony gives you a longer evening, which suits weddings with a lot of dancing โ but in autumn and winter it can mean your couple portraits happen in fading light, so consider a first look at midday.
If your ceremony is at 5pm
Move everything one hour later. Dinner starts around 19:00 and the dance floor opens closer to 21:00. A 5pm ceremony is great in summer, when the golden hour falls during cocktail hour, but it makes for a later night โ keep an eye on venue curfews and how far guests have to travel home.
Share the timeline with everyone who needs it
The best timeline is useless if it lives only on your phone. Send it to:
- your photographer, DJ or band, venue coordinator and caterer;
- the wedding party and close family;
- the MC or the person running the day.
Guests need a simpler version: ceremony time, when dinner starts and the big moments. In WeddingHub360, you build the schedule once, reorder moments with drag and drop, and guests see it in their own app after scanning the QR code. The schedule is part of the free plan; the guest app comes with Premium.
The takeaway
For a 4pm ceremony, start hair and makeup around 9:00, plan photos before the ceremony if you can, use cocktail hour for family photos and expect dinner around 18:00. Shift everything by an hour for 3pm or 5pm, add buffer where things usually slip, and share the plan with everyone involved.
